Our commitment

You entrust us with some of the most personal documents that exist: birth certificates, diplomas, police clearance extracts, identity documents. We take that seriously. This page sets out exactly what we do with your data, how long we keep it, and what rights you have.

What data we collect

We collect only what is necessary to produce your translation:

• The documents you send us (photographs or files), and the personal data they contain: name, date and place of birth, parentage, marital status, education history, judicial mentions, official document numbers.
• Your contact details: name, WhatsApp number, email address if you give us one.
• Information about your request: document type, languages, desired turnaround, the procedure it is for.

The site itself has no server-stored form, no database, no user account, and no advertising tracker. Simply browsing the pages collects no data about you.

Legal basis and purpose

Your data is processed on the basis of your consent, freely given when you send us your documents to obtain a translation, and for the performance of that service.

It is used exclusively to:

• prepare your quote;
• produce, proofread and certify the translation;
• deliver the document to you and discuss it with you;
• meet a legal or accounting obligation, where applicable.

We use your data for no other purpose. We do not sell it, rent it, pass it to any third party for commercial purposes, or use it for marketing.

Who has access to it

Access is strictly limited to the people involved in producing your translation: the translator handling your file and the proofreader. Both are bound by a duty of confidentiality.

No document is ever published, shared, shown as an example, or used for demonstration or promotional purposes — including in anonymised form.

How long we keep your documents

• Original documents you sent us and translation files: deleted 30 days after delivery. This window gives you time to request an extra copy or flag a correction, without your papers sitting in storage any longer than needed.
• WhatsApp conversations: deleted no later than 90 days after the file is closed.
• Data strictly required for a legal or accounting obligation: kept for the period the law requires, and for that purpose alone.

You can ask us to delete your documents earlier at any time, once delivery has taken place.

Where your data is processed

Exchanges mainly run through WhatsApp, a service operated outside Cameroon and subject to its own privacy policy, which we encourage you to read. The site is hosted by a provider based outside Cameroon. We deliberately keep the data travelling through these channels to what the service actually requires.

If you would rather not send your documents electronically, you can bring them directly to our Japoma showroom.

Security

We apply reasonable safeguards: access limited to the people concerned, password-protected devices, effective deletion within the stated timeframes, and no storage on public file-sharing services.

No electronic transmission is entirely foolproof, so we recommend sending us only the documents actually required for your procedure.

Your rights

Under Law No. 2024/017 of 23 December 2024 on the protection of personal data in Cameroon, you have the right to:

• be informed about how your data is processed;
• access it;
• have it corrected if it is inaccurate;
• request its deletion;
• object to its processing or request that it be restricted;
• withdraw your consent at any time;
• lodge a complaint with the authority responsible for personal data protection in Cameroon.

Children

We regularly translate documents concerning minors (birth certificates, school records). These can only be entrusted to us by a parent, guardian or legal representative, who consents to the processing on the minor’s behalf.

Changes

This policy may be updated from time to time. Any change is published on this page together with its effective date.
